This privacy policy explains how Golf Challenge UK collects, uses, stores and shares personal information through our website, enquiries, event registrations, competitions, brand activations, exhibitions, product demonstrations and related communications.
Golf Challenge UK is the data controller for personal information we collect for our own business purposes. For some client or brand-partner events, the client or partner may also be a separate controller. The registration form or event notice will identify the relevant organisation and explain any intended sharing.

3. Personal information we collect
Depending on how you interact with us, we may collect:
- Identity and contact details, including name, organisation, job title, email address and telephone number.
- Event-enquiry details, including event type, date, venue, estimated attendance, objectives and products being promoted.
- Registration and participation details, including source event, competition entry, scores, attendance and prize information.
- Audience and product-interest information, such as playing frequency, equipment preferences, product feedback, purchase consideration, fitting interest and expected purchase timing.
- Marketing choices, including whether you have asked to receive information from GCUK or a clearly named event partner.
- Photographs and video recorded at events where appropriate notices have been provided and a valid lawful basis applies.
- Technical information, such as IP address, browser type, device information, pages viewed and cookie preferences, where collected by our website tools.
- Business and transaction information, including quotations, contracts, invoices, payments and correspondence.
Please do not provide special-category information (for example, health information) unless it is genuinely required for accessibility, safety or event delivery.
4. How we collect personal information

- From an organisation arranging or sponsoring an event, where it is appropriate for that organisation to provide your details.
- From publicly available business sources and professional platforms where permitted by law.
- Automatically through website cookies and similar technologies, subject to the choices explained in our Cookie Policy.
5. How and why we use personal information
We only use personal information where we have a valid lawful basis. The main purposes and bases are:

6. Event registrations, clients & brand partners
Some events are delivered for a corporate client, event organiser, exhibitor, golf manufacturer or other brand partner. The relevant registration form or event notice will explain:
- who is organising or sponsoring the event;
- which organisation or organisations will receive participant information;
- why the information is being collected;
- whether follow-up or marketing is proposed; and
- how participants can exercise their choices and rights.
We do not share registration information with an event partner for unrelated marketing simply because someone took part. Where marketing consent is required, the choice will be specific, informed and separate from participation.
Where GCUK processes information solely on a client's documented instructions, that client is responsible for its own privacy information and decisions about the data.
7. Marketing communications
We may send relevant business-to-business communications where permitted by law and where our legitimate interests are not overridden by the recipient's rights. We will seek consent where the law requires it, including for marketing to individuals where no applicable exception exists.
You can opt out at any time by using the unsubscribe option in a message or contacting hello@golfchallengeuk.com. Service messages about an enquiry, booking or event are not marketing messages.
8. Cookies and website analytics
Our website may use cookies and similar technologies to operate securely, remember preferences and, where enabled, understand visitor activity. Strictly necessary technologies may operate without consent. Non-essential analytics or advertising technologies will only be used in accordance with applicable consent requirements.

9. Who we share personal information with
We may share relevant information with:
- the clearly identified client, organiser or brand partner connected with an event, where explained and lawful;
- website-hosting, form, CRM, email, cloud-storage and IT-support providers acting on our behalf;
- payment, accounting, insurance, legal and other professional advisers;
- venues, event staff and specialist suppliers where necessary for safe and effective delivery;
- regulators, law-enforcement bodies, courts or other authorities where required by law; and
- a purchaser or successor if GCUK undergoes a business sale, transfer or restructuring, subject to appropriate safeguards.
We require service providers acting as processors to protect personal information and use it only for the agreed services. We do not sell personal information.
10. International transfers
Some technology providers may store or access information outside the United Kingdom. Where this happens, we take reasonable steps to ensure that an appropriate legal transfer mechanism and safeguards are in place, such as UK adequacy regulations or approved contractual protections.
11. How long we keep information
We retain personal information only for as long as reasonably necessary for the purpose collected, including legal, accounting and reporting requirements. Our usual approach is:
- Unsuccessful enquiries and quotations: normally up to 24 months after the last meaningful contact.
- Customer, supplier, contract and financial records: normally six years after the end of the relevant relationship or accounting period.
- Event registrations, competition records and feedback: normally up to 12 months after the event, unless a shorter period is agreed or a longer period is reasonably required.
- Marketing records: until you opt out, or until periodic review shows that continued retention is no longer appropriate. Suppression records may be retained to honour opt-outs.
- Photography and video used for legitimate promotional purposes: reviewed periodically and removed when no longer relevant or appropriate.
- Technical and security records: retained for periods appropriate to security, troubleshooting and legal requirements.
Specific client arrangements, disputes, legal claims or regulatory obligations may require a different retention period.
12. Security
We use reasonable organisational and technical measures to protect personal information against accidental loss, misuse, unauthorised access, alteration or disclosure. Access is limited to people and service providers who need the information for legitimate business purposes.
No internet transmission or storage system is completely secure. If we become aware of a personal-data breach, we will assess and respond to it in accordance with applicable law.
13. Your data-protection rights
Depending on the circumstances, you may have the right to:
- ask for access to your personal information;
- ask us to correct inaccurate or incomplete information;
- ask us to erase information in certain circumstances;
- ask us to restrict how information is used;
- object to processing based on legitimate interests or to direct marketing;
- receive certain information in a portable format; and
- withdraw consent at any time where processing relies on consent, without affecting earlier lawful processing.

15. Children
Our website and commercial services are not directed specifically at children. If an event includes participants under 18, we will use proportionate registration, photography and consent arrangements appropriate to the event and the participant's age. A parent or guardian may be asked to provide permission where appropriate.

Our website may link to third-party websites or services. Those organisations are responsible for their own privacy practices, and we encourage you to read their privacy information.
